Action Plan: field-team scheduling we built and keep improving

Hardcode product. Field-team scheduling built from a real spreadsheet problem: a drag-and-drop calendar, bookings, an agent portal for job photos, and exports. Built in 2025 and still being improved.

At a glance

  • Type: Hardcode product, built and owned by Hardcode Studios. Not client work.
  • What it is: Scheduling and operations software for teams that run field crews.
  • Built: During 2025, launched around the turn of 2025 into 2026.
  • Since launch: Recurring scheduling, data import, documentation and an agent portal.

The context

Action Plan started with a real problem. A client at a large South African franchise business was running everything on spreadsheets and needed one system to handle bookings, crews and the work in between.

We took that need and built Action Plan as our own product, so that it could serve that kind of team properly and keep growing beyond a single project. We built it during 2025 and launched it around the turn of 2025 into 2026.

Action Plan is aimed at field service companies, such as bin cleaning, garden and landscaping, plumbing and HVAC, window cleaning, property maintenance, delivery and logistics, and security and inspections.

What we built

Action Plan keeps the day's work in one place, from the booking to the finished job.

Scheduling on a calendar. A drag-and-drop calendar lets a scheduler move bookings around visually and see conflicts straight away.

Bookings and checklists. Each booking can carry a checklist, so crews know what a job involves before they arrive.

Team coordination. Schedulers assign agents, track availability and manage schedules from one place, and agents send status updates as the work moves.

Job history in one place. Comments, status changes and files stay with each booking, so the full story of a job is easy to find.

Custom fields. Every service line tracks different details. Custom fields let a business record what matters to its own work, such as bin count or garden size.

Reporting, exports and access. CSV export and booking summaries help a team review its workload, and role-based access controls who sees what.

How it runs and improves

Launch was the start, not the finish. We keep improving Action Plan based on requests, which is the same way we work with clients: a scoped first build, then steady improvement month by month.

Since launch we have added:

  • Recurring scheduling, so regular jobs do not have to be booked one at a time.
  • Data import, so a team can bring its existing records across instead of starting from scratch.
  • Documentation, so the people using the product can find their way around it.
  • An agent portal, where agents post photos against their jobs, so the office can see progress without being on site.

Each change came from a real request about how field work runs.

See it live

Running the business on spreadsheets?

Action Plan began with a team that had outgrown its spreadsheets. If that sounds familiar, we can help. We start with a scoped build around how your team already works. Once the system is live, we keep improving it through a monthly programme agreed with you. Tell us how the work runs today and where it gets stuck, and we will suggest a first scope to discuss.
